USW Local 9346 Personal Information Protection Policy 

The Government of British Columbia has passed legislation that took effect January 1st, 2004. The general purpose of this Act is to ensure that organizations collecting and holding information about individuals handle that personal information with due regard for the privacy of the affected individuals. The Act also gives individuals control over the way information about them is handled by giving them a right to request access to and correction of their personal information. The Act is designed to ensure that individuals give their informed consent before they divulge their personal information to any organization, including a union. Individuals should know why their information is being collected, what it will be used for and who it will be disclosed to. 

The United Steelworkers, Local 9346 recognizes the importance of privacy and the sensitivity of personal information. As a bargaining agent, the Union has an obligation to keep confidential, all information it receives. The Union is committed to protecting any personal information it holds and we developed this Privacy Policy to outline how we manage and safeguard the personal information of our membership.  

Personal Information shall mean – “information about an identifiable individual and includes employee personal information but DOES NOT INCLUDE (a) contact information, or (b) work product information.” 

Here are some of the personal information the Union collects about its members during the dues remittance process:

            Name, home address, home telephone number, Email address, Company name, department, shift and hours worked, and signature.

Some personal information we collect when we investigate grievances, workplace accidents, harassment claims and human rights violations:

            Attendance records, discipline records, employer opinions about the grievor/complainant, personal reasons for absences, production records, financial records, witness statements, accident reports, work histories, and meeting notes.

The Union also collects personal information during the collective bargaining process such as:

            Payroll information, employee lists, employee contact information, job classification lists, and benefits information.

This Policy entitles individuals to request and receive personal information collected about them. If the information that the Union holds about the individual is not accurate the Union must take steps to correct any errors. There is a form that you must fill out and submit to Horst Gandner, Privacy Officer, in order to retrieve your records.
